Streamlining settlements, empowering working mums. Hanson Property Settlements switch to Realtime Conveyancer.

It’s been just over three years since Katherine Hanson established Hanson Property Settlements. Under her leadership, the team has grown, and they now boast two office locations (Cockburn, in Perth, and Busselton, in WA’s South West). When you speak to Katherine & her team, their passion for their client experience is immediately evident.

This client-centric, forward-thinking approach, as well as Katherine’s commitment to supporting working mums and providing a flexible workplace, saw the team make the move to Realtime Conveyancer in late 2023. Katherine shared with us recently that the transition to Realtime Conveyancer was a strategic move aimed at ensuring Hanson Property Settlements kept pace with the expectations of the modern consumer and enhanced the overall client experience.

A seamless switch to modern conveyancing

Katherine recalls the switch to Realtime Conveyancer as a pivotal moment for her team. “It’s scary, but you just have to commit. We’re just really enjoying the settlement life at the moment. It’s been enjoyable to come together as a team and work on this project,” she reflects. When we spoke to her team about the move, it was clear that this was a collective decision, with the entire team committing to making the most of their new digital tools.

Realtime Conveyancer has not only enabled the team to streamline their workflow but also supported their goal of moving to a paperless office. Katherine credits Realtime for allowing her office to operate more efficiently, especially in her case, when auditing and signing off on her team’s settlement files. The platform’s cloud-based nature enables her team to work flexibly, including remotely, which has been instrumental in supporting her commitment to ensuring her people have work-life balance.

Using technology to support training & business development

One of the standout features of Realtime Conveyancer for Hanson Property Settlements has been its ability to improve staff training and development. In her recent chat with us, Katherine highlighted how the system’s customisable workflow feature has been able to assist in the training of her team, turning what was a daunting task into an empowering process. “I’ve kind of designed it to be able to train conveyancers because, you know, there’s not a lot of young conveyancers in the industry. But I’m finding that developing this system and pulling my admin staff out of their roles and putting them in junior conveyancer roles, they are really thriving by using that [workflow] overview,” she explained.

In addition to this, Hanson Property Settlements is now able to seamlessly incorporate its post-settlement requests for Google reviews into the Realtime platform. By automatically prompting clients to leave reviews at the conclusion of their settlements, they have seen a jump in clients sharing their positive feedback on Google, increasing their visibility and credibility online.

Supporting your business every step of the way

At Realtime, we’re committed to supporting our clients from before they start transacting until long after.  In our recent chat with Katherine, she talked about her own experience with the comprehensive support provided by the Realtime team during their transition.  “The level of support from the Realtime team is amazing,” Katherine shared, emphasising her appreciation for the help her whole team was able to access throughout the process.

We’re genuinely so excited to see Hanson Property Settlements continue to go from strength to strength. Their journey is an excellent example of how, while there is never a perfect time for change, embracing the right tech tools can drive efficiency and boost client satisfaction in your conveyancing business. For other firms considering a similar transition, Katherine’s advice is clear:

“You just have to do it. There are so many benefits, not only in relation to procedures and compliance but the way your team feel, the way your processes run, and the way your clients are feeling after the transaction.”

Think you’re too busy to switch software providers? Meet someone who was, but did it anyway.

There’s somewhat of a trend in recent years, where at the beginning of the new year, people pick a ‘word’ that they’ll base their year on. Usually, it’s something upbeat or motivating. For conveyancing in 2024, though, that word has got to be BUSY. Everybody we speak to is busy. Busy with files. Busy being understaffed and overworked. Busy, busy, busy. A good problem to have, yes. But for many, too busy to even think about transitioning to a new software platform. It feels like a daunting, if not downright impossible, process. Yet, amidst all the chaos of managing files, correspondence, and appointments, there is a solution that will streamline your processes, boost your efficiency, and ultimately transform the way you work.

Valerie Bellerose, the licensee of Bellerose Property Conveyancing, knows this struggle all too well. In her own words, she shares her journey of transitioning to Realtime Conveyancer – a decision that initially seemed daunting but ultimately proved to be a game-changer for her business.

“I always knew that there had to be something new and better than the previous program that I was using,” Valerie recalls. “And as a settlement agent, I was very set in my ways and decided that I had to step outside the box if I wanted things to be different.”

For Valerie, stepping outside the box was critical. Like many conveyancers, her boutique business is built on referrals, and she prides herself on offering bespoke, highly personalised service to her clients. Embracing change was not just about improving efficiency for her; it was about maintaining, and even surpassing, the already high standards of service that her clients and referral partners have come to expect.

What caught Valerie’s attention about Realtime Conveyancer was its innovative approach to streamlining processes, especially its Auto Finance tab. This feature, she says, is the most valuable part of the system. “The new system’s ways of receipting, balancing files, payments… The Auto Finance tab is probably the thing that I like most about the system because it saves a lot of time.”

For Valerie, time is of the essence, especially as a self-employed business owner with personal commitments scattered throughout the day. With Realtime Conveyancer, she found the flexibility to manage her workload efficiently, even while attending personal appointments. “Because I work for myself, I need to go to personal appointments during the day. And I use my phone to email clients, check on certain things happening on my files, and it never stops. Using Realtime has made that possible.”

One of the standout features of Realtime Conveyancer for Valerie was its ease of use and the comprehensive support provided by the Realtime team. Despite initial reservations, Valerie found the transition process to be seamless, thanks to the intuitive nature of the platform and the dedicated assistance she received. “Learning the system was really easy. Very seamless because it’s been simplified. The ladies, Katelyn, Nicole, and Alannah were fantastic. They never made me feel like I was silly for asking questions, because I felt they were all relevant to what I was doing.”

Reflecting on her experience, Valerie offers a word of encouragement to fellow conveyancers who may be hesitant to make the switch: “I’d say just do it. There’s never an easy time or the best time. It’s always daunting. Everything’s always daunting. I would just do it and see how it rolls. There’s so much support out there, even from other conveyancers that are using the system.”

Like many conveyancers, Valerie felt too busy to embrace change, even though she knew this was what was needed for her business. But by taking the leap and transitioning to Realtime Conveyancer, she could work at a new level of efficiency and productivity, offering unparalleled support to her buyers and sellers. This is a decision she has never regretted. As she aptly puts it, “The only regret you’ll have is not doing it.”

She has countless stories of clients who’ve managed their conveyancing tasks from remote locations or amidst a busy schedule without skipping a beat. One of her most memorable ones from early in her journey. Alannah recalls, “We had a client who was in Bali and she called us when she got home and said that Realtime was the best decision that she had made. She was sitting by the pool when a settlement came forward earlier than expected, and she was able to do everything she needed to do from Bali using Realtime.”

Client Spotlight on… Talitha King, Conveyancing Southwest

Located in the picturesque southwest city of Busselton in WA, Conveyancing Southwest is a longstanding local business with a fantastic reputation for exceptional property settlement services. Established in 2002 and taken over by current Director & Licensee Talitha King in 2017, Conveyancing Southwest has established itself as a leader in the WA conveyancing industry.

Realtime Conveyancer has been honoured to have been supporting the Conveyancing Southwest team with our breakthrough technology since early 2022. Recently, we spoke to Talitha to get an insight into what sets Conveyancing Southwest apart and how they’re delivering exceptional experiences for their buyers and sellers.

Can you tell us a bit about your business and what sets you apart in the conveyancing industry?

I think our adoption and use of technology to better serve our clients sets us apart.  We have always been early adopters of new tech, and we love finding ways to make our clients’ experience more efficient and convenient without compromising (and even improving) on security, trust and the personal touch.

How does your business prioritise customer satisfaction and provide an exceptional experience for homebuyers and sellers?

We know that no two buyers or sellers are the same; everyone has their own story, and the settlement process is a big deal for them.  If it’s a big deal for them, then it’s a big deal for us.  We want to be on the journey with them, and our commitment to understanding the significance of the change in their life is what allows us to best serve their needs.

Can you share a success story or a memorable experience where your services made a significant impact on a client’s home-buying or selling journey?

We had a settlement where the orders and requisitions received from the local council showed a formal compliance order over the property but didn’t give any further information.  It would have been easy to miss amongst the information provided, but we made some enquiries with the shire and discovered that the property had been modified and was unapproved.

Usually, this can be easily resolved by gaining retrospective building approval; however, in this case, it was unable to be approved because the property was in a special character area, and the council did not have the discretion to vary the regulations laid out in the scheme and therefore were unable to provide an approval.

The buyer was still keen to go ahead but was able to enter into negotiations with the seller to ensure that they were compensated for the future risk that they were taking in.  Our expertise in picking up on something that looked a little out of the ordinary meant our buyer could proceed with their purchase with their eyes wide open.

And for a little more insight into Talitha & her team, here is a snippet from the 2023 AICWA State Conference, where Talitha took some time to tell us about her business.

We’re thrilled to be able to support innovative, forward-thinking conveyancers like Talitha and the team at Conveyancing Southwest. Their client-first focus and their commitment to embedding themselves into their client’s personal journeys is something to be truly admired. Client Spotlight on… KDD Conveyancing Services

Over the last 15 years or so, the demands on conveyancers have changed quite dramatically. Consumer expectations have evolved, regulatory obligations have increased, and many conveyancers we speak to are unsure of how to transition their business into this modern conveyancing landscape. One firm that has done this, though, is WA’s KDD Conveyancing Services.

KDD Conveyancing Services is one of Western Australia’s largest conveyancing firms, and over the last 10 years, they’ve not only embraced cutting-edge technology but have also set new industry standards for modern conveyancing practices. In this Client Spotlight, we take a look at KDD’s journey of transformation, including their commitment to innovation, their journey to paperless operations how flexible working arrangements are now commonplace in their business, all made possible by their partnership with Realtime Conveyancer.

Leading the way from the beginning of eConveyancing

KDD, having recently celebrated its 20th year in operations, has a long history of being at the forefront of technological advancements in the conveyancing industry. Take their commitment to embracing econveyancing in their business – back in December 2016, having settled a mere 100 settlements, KDD was Australia’s top transfer transactor on PEXA. Less than eight years later, they’ve now settled thousands.

Grace Boyle, KDD’s Licensee & General Manager, reflects on this milestone, saying, “We’ve always believed that embracing technology is essential for the future of conveyancing. It’s about providing better, more efficient services to our clients.”

Settling properties from Broome to the Nullabor and beyond

One of the standout stories of KDD’s digital embrace is that of Maddison Westlake, one of their longest-serving team members. Joining the KDD team in 2016 as their receptionist, Maddi built up a wealth of knowledge and genuine connections with many of KDD’s clients and referral partners.

When she made the decision to travel around Australia with her partner in 2023, Grace realised that she was too good an asset for KDD to lose and was able to create a remote working role for Maddi.

This role has allowed Maddi to work remotely for KDD from some of North West WA’s most picturesque locations, and now as she travels across the Nullabor into South Australia.

Becoming paperless in a paper-heavy industry

KDD Conveyancing Services made the decision to become a paperless office back in 2017, driven by a vision to enhance efficiency and minimise their environmental footprint. In what is traditionally a very paper-heavy industry, KDD proudly stands today as one of the industry leaders, with operations that are almost entirely paperless.

This transformation has not only streamlined their processes and saved the business money but has also contributed to a more sustainable and eco-friendly approach to conveyancing. Grace says, “Our transition to a paperless office is more than just modernisation. It’s a testament to our commitment to innovation and efficiency in conveyancing, and future-proofing our business.”

Supporting their team with flexible working arrangements

In addition to the flexibility offered to Maddi in her role whilst travelling, KDD Conveyancing Services also identified the need for increased flexibility for the rest of the Ellenbrook-based team. A considerable number of the team now work in hybrid office/remote roles, demonstrating just how easily modern technology can redefine work arrangements.

Grace says that these arrangements offer her team a greater work-life balance but also that time has proven that this has not come at the cost of productivity. In fact, KDD’s conveyancers consistently settle an above-industry-average number of properties, thanks to the efficiencies and automations offered by Realtime Conveyancer’s Transaction Management Software.

“Our team’s ability to work remotely and efficiently has been pivotal in achieving our goals. It’s about redefining traditional boundaries in conveyancing.”, says Grace.

A modern conveyancing experience for today’s clients

KDD’s commitment to innovation also extends to their clients by offering the Pathway to Settlement app to all buyers, sellers and real estate agents. This app by Realtime Conveyancer empowers KDD’s clients to track their property settlements 24/7 from their smartphones and securely share their account details with the KDD team. This not only reduces the risk of cyber-attacks but also enhances customer satisfaction and bolsters the firm’s reputation as a modern, tech-savvy conveyancer.

Navigating digital transformation and embracing innovation

Realtime Conveyancer’s CEO and Founder, Kylie Dillon, is undeniably proud of the team at KDD, stating, “KDD Conveyancing Services exemplifies what forward-thinking conveyancing firms can achieve with the right technology partner. We’re proud to partner with them in their mission to support their staff in modern work practices and to continue to deliver exceptional customer experiences to WA homebuyers and sellers.”

KDD Conveyancing Services has laid a sturdy foundation for the future of conveyancing by making strategic choices in their tech stack, including Realtime Conveyancer. This deliberate approach has enabled them to drive changes that extend beyond their settlement processes. With a focus on paperless operations, flexible work arrangements, and delivering exceptional client experiences, KDD is well-positioned to enter the era of modern conveyancing. Nicole King is one of our passionate team members who understands firsthand the challenges faced by conveyancers. Nicole is a licensed conveyancer with a wealth of experience, and she’s here to champion your success.

Before she joined the Realtime Conveyancer, Nicole served as the Licensee of a large WA conveyancing firm in Perth’s north-east. In her role as a Customer Success expert, Nicole is focused on empowering conveyancers, and she’s committed to ensuring that your experience with Realtime Conveyancer is nothing short of exceptional. Realtime Conveyancer is designed to streamline your day-to-day tasks and processes, ultimately enabling you to work more efficiently. “It is a really stressful, hard job that conveyancers do,” Nicole acknowledges. “So we want to be able to give them a bit of flexibility, a bit of time back in their day, some time to actually advise their clients and deal with their clients, by using technology as a tool to give them that time back.”

Embracing technology can seem overwhelming, especially given that the conveyancing industry has been subjected to a plethora of changes in recent years. Nicole reassures, “It [change] doesn’t have to be a scary thing. It can actually help you bring efficiencies into your office, and technology, I guess, is the tool to help you bring your business forward.”

With Realtime Conveyancer’s cloud-based technology, conveyancers regain control over their time. Nicole highlights, “With Realtime, the technology gives them those efficiencies back into their day because it is cloud-based. You can use it anywhere, anytime, any device. That’s what people need.”

Client Spotlight on… Jackie & Marcus Liley, Personalised Settlements

In our first edition for 2024 of our Client Spotlight series, we’d like to introduce you to Jackie and Marcus Liley, the couple behind Personalised Settlements. Jackie and Marcus have been servicing the inner northern suburbs of Perth since Jackie founded the business in 1995. Since then, Marcus has joined her, and together, they have settled thousands of properties for WA home buyers and sellers. Personalised Settlements prides itself on being fiercely independent, with no financial affiliations with real estate agents, banks or finance brokers.

Since coming on board Realtime Conveyancer in 2023, they’ve been reaping the benefits of our innovative, cloud-based solution, implementing digital signing and paperless processes into their BAU. We chatted to Jackie and Marcus recently about business ownership, technology and efficiency in their business…

What inspired you to start your own conveyancing business?

Prior to establishing Personalised Settlements, I (Jackie) was working for one of the larger agencies in Perth. It was owned by a number of real estate agencies, who exerted too much control/influence over the settlement process. I opened my business so I could provide a more personalised service & focus exclusively on the client’s needs (not the agent’s).

What role does technology play in your business, and how does it enhance your service offerings?

Technology has a huge impact on the service we provide to our clients. Years ago, we posted all correspondence/documents to clients & urgent contact was by phone. Realtime’s integration with MS Outlook makes daily communication with all involved parties so much quicker & easier, and clients can respond at their leisure. Realtime also makes it easier for clients to sign documents via DocuSign.

In addition to making life easier for clients, the increased efficiency gives us more time to complete manual tasks. Realtime’s Task List is also a valuable workflow & quality control tool – only the other day, I thought to myself, “I can’t remember the last time we missed something in someone’s settlement.”

Can you share any unique strategies or approaches you’ve implemented to streamline processes and improve efficiency in your business?

We live by the KISS principle. The settlement process is overwhelming for many clients – contract/loan/mortgage documents, forms required by government departments, Duty & Tax implications – the list goes on. We try to simplify the process as much as possible. There is no point in giving clients a 25-page booklet regarding the settlement process – we just provide what they need when they need it.

How has the Realtime Conveyancer platform benefited you and your business?

Realtime gave us the flexibility to attend a wedding in Margaret River last Friday. As long as we can get access to WIFI or can hotspot to a phone, we can log in and settle from any location!

It is an honour to have Jackie and Marcus as part of the Realtime Conveyancer family, especially because we know that they conducted significant due diligence before deciding to make the switch to our software. Their open, collaborative and supportive natures resonate deeply with the core values of Realtime Conveyancer. Their commitment to these principles is evident in the way they generously share their knowledge and insights with industry peers, contributing significantly to the advancement of our entire field.

Media Releases

Celebrating WA with our ‘Better Late Than Never’ Launch!

Realtime Conveyancer has been live in WA for 12 months, but as we were planning our South Australian launch party, we realised that we were yet to celebrate this same milestone in WA. How remiss of us! And so became our WA ‘Better Late Than Never’ Launch Party on 30 November at the fabulous Henry’s Rooftop at The Reveley on Perth’s magnificent Elizabeth Quay.

We were joined at this event by almost 100 of our clients & WA conveyancers, integration partners and industry stakeholders. And what a night it was! The energy was electric, and many guests commented about the incredible community spirit they felt being part of the Realtime family, not only at this event but in their business in general.

Kylie Dillon, our founder & CEO, took a moment to say a few words, thanking guests for their ongoing support and reflecting on the incredible journey that had led all of us to that point. She gave a special mention to the Realtime Conveyancer team, who have worked tirelessly over the past few years to bring her vision to life and shared our heartfelt gratitude to all in attendance for being part of this special celebration.

Special thanks go to The Reveley and their wonderful team for the delicious food and drinks that continued to flow throughout the night. Our celebration was made extra-special with our pink signature cocktail and mocktail creations, ‘The Ruby’ and ‘The Realtime’.

Something that Kylie summed up beautifully in her speech was the importance of working together and collaboration over competition. Building a community is something that is at the heart of what Realtime is all about, something that far transcends the development of conveyancing software. It was so wonderful to witness some of WA’s most innovative conveyancers come together with leading industry stakeholders and build some incredible connections at this event.

After looking back on the years gone by and celebrating some incredible achievements, it’s now time to look forward to 2024 with gratitude to all of those who have supported us in our journey so far. We’re excited to continue to deliver amazing features and innovative technology for WA conveyancers.

Client Spotlight on… Laura Halliday, Halliday Property

In this edition of our Client Spotlight series, we’re thrilled to introduce you to Laura Halliday, Director and Founder of Halliday Property. Understanding that selling or buying a property can be an emotional and stressful time, Laura is passionate about going the extra mile for her clients. As an avid user of our Pathway to Settlement app to give her clients complete visibility over their settlement process, Laura is leading the way, providing modern, digital conveyancing services to her clients. We chatted to Laura recently about business ownership, client relations and technology…

What inspired you to start your own conveyancing business?

Ever since I started in the industry back in 2006, it was always a dream of mine to start my own conveyancing firm. We’re very lucky in our industry to have flexibility with our jobs because of PEXA. When I fell pregnant with my first daughter Ava in 2018, I felt like the timing was perfect to go out on my own because I could be a mum and have my dream job at the same time – what could be more amazing than that?

How do you maintain strong relationships with your clients and foster trust and transparency throughout the conveyancing process?

Communication! Something so simple can have such a big impact on your business and your relationships with not only your clients but real estate agents, mortgage brokers and any person who is involved in the settlement.

What role does technology play in your business, and how does it enhance your service offerings?

Technology is a great tool to have in your toolbox. There are many ways you can utilise technology, from something as simple as an SMS service to an app. For my business, I am very much pro-technology as a quick and easy way for everyone to keep the client and real estate agent updated on the progress of settlement. To do this, I utilise the amazing Pathway to Settlement app that is integrated with Realtime Conveyancer.

We’re privileged to support Laura on her journey, as she empowers her buyers and sellers with industry-leading technology, delivering on their desires for safe, transparent and simple property settlements.

Client Spotlight on… Kelly Young, Estate Conveyancing

In our latest Client Spotlight, we’re excited to introduce Kelly Young and her business, Estate Conveyancing. Kelly’s WA office is based in Geraldton, servicing homeowners across the state. Estate Conveyancing also has a branch in Melbourne to assist Victorian homeowners with their conveyancing needs. Having been an active user of Realtime Conveyancer for more than a year, Kelly and her team pride themselves on the fact that the majority of their clients are either repeat clients or have been referred to them by a previous happy client.

Recently, we took some time to chat with Kelly and dive into some of the things that make Estate Conveyancing unique, as well as what she loves about being part of the WA conveyancing community.

Can you tell us a bit about your business and what sets you apart in the conveyancing industry?

Estate Conveyancing is a cross-state-based company with offices in WA and VIC.  While being qualified across the two jurisdictions is challenging, having this knowledge is very advantageous to assist clients and their needs across both of these states and processes.

We are always striving to do better and are always advocating for the betterment of our industry, no matter what state you are in.

What inspired you to start your own conveyancing business?

After a lovely 4 year trip around the world, returning to my homeland in 2009 and my hometown was tough.  People were different, and the world was different. This made me think about life and what direction it was going.  That is when I decided that I wanted to be a business owner, and I wanted to be challenged.

Working in settlements and property since I left high school, I loved the industry and loved the work.  I am a very social person and try to be positive as much as possible, so why not take that across to pleasing clients and making a difference in the industry!

What challenges have you faced in your journey, and how have you overcome them?

I think we can all say that, at some point or another, we have experienced burnout…  Why do we put ourselves through the stress and high expectations of our industry?  Short answer – There is no better feeling than seeing that SETTLED email and calling that excited client to tell them that they are a homeowner, or you are now a property investor or your property is now transferred, and you never have to speak to your ex again!

It is really easy to get bogged down in the negative but to overcome the intense and stressful nature of our job, it is vital to be surrounded by the tools to keep you motivated and efficient.  That includes software and also motivated and inspiring people!

What future goals or aspirations do you have for your business, and how do you plan to continue making a difference in the industry?

I want to build up my business in both states and have a more profitable business in line with our worth.  Not necessarily what people’s expectations are but what we are worth in line with the intensity of our work and the skills required.   We are often not given anywhere near enough credit as the professionals we are.   I am also very big on education and making our industry great for all involved, and keeping a high standard.

Kelly’s passion and commitment to making a positive change in the lives of her homebuyers and sellers in what is often a stressful period in people’s lives is truly inspiring. Just like us, people are the heart of her business, and we’re honoured to have called her and the Estate Conveyancing team valued clients of Realtime Conveyancer since 2022.
