Client Spotlight on… Talitha King, Conveyancing Southwest

Located in the picturesque southwest city of Busselton in WA, Conveyancing Southwest is a longstanding local business with a fantastic reputation for exceptional property settlement services. Established in 2002 and taken over by current Director & Licensee Talitha King in 2017, Conveyancing Southwest has established itself as a leader in the WA conveyancing industry.

Recently, we spoke to Talitha to get an insight into what sets Conveyancing Southwest apart and how they’re delivering exceptional experiences for their buyers and sellers. 

Can you tell us a bit about your business and what sets you apart in the conveyancing industry?  

I think our adoption and use of technology to better serve our clients sets us apart.  We have always been early adopters of new tech, and we love finding ways to make our clients’ experience more efficient and convenient without compromising (and even improving) on security, trust and the personal touch.

How does your business prioritise customer satisfaction and provide an exceptional experience for homebuyers and sellers?  

We know that no two buyers or sellers are the same; everyone has their own story, and the settlement process is a big deal for them.  If it’s a big deal for them, then it’s a big deal for us.  We want to be on the journey with them, and our commitment to understanding the significance of the change in their life is what allows us to best serve their needs.

Can you share a success story or a memorable experience where your services made a significant impact on a client’s home-buying or selling journey?  

We had a settlement where the orders and requisitions received from the local council showed a formal compliance order over the property but didn’t give any further information.  It would have been easy to miss amongst the information provided, but we made some enquiries with the shire and discovered that the property had been modified and was unapproved.  

Usually, this can be easily resolved by gaining retrospective building approval; however, in this case, it was unable to be approved because the property was in a special character area, and the council did not have the discretion to vary the regulations laid out in the scheme and therefore were unable to provide an approval.

The buyer was still keen to go ahead but was able to enter into negotiations with the seller to ensure that they were compensated for the future risk that they were taking in.  Our expertise in picking up on something that looked a little out of the ordinary meant our buyer could proceed with their purchase with their eyes wide open.

Leading the way from the beginning of eConveyancing

KDD, having recently celebrated its 20th year in operations, has a long history of being at the forefront of technological advancements in the conveyancing industry. Take their commitment to embracing econveyancing in their business – back in December 2016, having settled a mere 100 settlements, KDD was Australia’s top transfer transactor on PEXA. Less than eight years later, they’ve now settled thousands.

Settling properties from Broome to the Nullabor and beyond

One of the standout stories of KDD’s digital embrace is that of Maddison Westlake, one of their longest-serving team members. Joining the KDD team in 2016 as their receptionist, Maddi built up a wealth of knowledge and genuine connections with many of KDD’s clients and referral partners. 

When she made the decision to travel around Australia with her partner in 2023, Grace realised that she was too good an asset for KDD to lose and was able to create a remote working role for Maddi.

This role has allowed Maddi to work remotely for KDD from some of North West WA’s most picturesque locations, and now as she travels across the Nullabor into South Australia.

Becoming paperless in a paper-heavy industry

Client Spotlight on… Jackie & Marcus Liley, Personalised Settlements

In our first edition for 2024 of our Client Spotlight series, we’d like to introduce you to Jackie and Marcus Liley, the couple behind Personalised Settlements. Jackie and Marcus have been servicing the inner northern suburbs of Perth since Jackie founded the business in 1995. Since then, Marcus has joined her, and together, they have settled thousands of properties for WA home buyers and sellers. Personalised Settlements prides itself on being fiercely independent, with no financial affiliations with real estate agents, banks or finance brokers.

Since coming on board Realtime Conveyancer in 2023, they’ve been reaping the benefits of our innovative, cloud-based solution, implementing digital signing and paperless processes into their BAU. We chatted to Jackie and Marcus recently about business ownership, technology and efficiency in their business…

What inspired you to start your own conveyancing business?

Prior to establishing Personalised Settlements, I (Jackie) was working for one of the larger agencies in Perth. It was owned by a number of real estate agencies, who exerted too much control/influence over the settlement process. I opened my business so I could provide a more personalised service & focus exclusively on the client’s needs (not the agent’s).

What role does technology play in your business, and how does it enhance your service offerings?

Technology has a huge impact on the service we provide to our clients. Years ago, we posted all correspondence/documents to clients & urgent contact was by phone. Realtime’s integration with MS Outlook makes daily communication with all involved parties so much quicker & easier, and clients can respond at their leisure. Realtime also makes it easier for clients to sign documents via DocuSign.

In addition to making life easier for clients, the increased efficiency gives us more time to complete manual tasks. Realtime’s Task List is also a valuable workflow & quality control tool – only the other day, I thought to myself, “I can’t remember the last time we missed something in someone’s settlement.”

Can you share any unique strategies or approaches you’ve implemented to streamline processes and improve efficiency in your business?

We live by the KISS principle. The settlement process is overwhelming for many clients – contract/loan/mortgage documents, forms required by government departments, Duty & Tax implications – the list goes on. We try to simplify the process as much as possible. There is no point in giving clients a 25-page booklet regarding the settlement process – we just provide what they need when they need it.

How has the Realtime Conveyancer platform benefited you and your business?

Realtime gave us the flexibility to attend a wedding in Margaret River last Friday. As long as we can get access to WIFI or can hotspot to a phone, we can log in and settle from any location!

Celebrating WA with our ‘Better Late Than Never’ Launch!

Realtime Conveyancer has been live in WA for 12 months, but as we were planning our South Australian launch party, we realised that we were yet to celebrate this same milestone in WA. How remiss of us! And so became our WA ‘Better Late Than Never’ Launch Party on 30 November at the fabulous Henry’s Rooftop at The Reveley on Perth’s magnificent Elizabeth Quay.

We were joined at this event by almost 100 of our clients & WA conveyancers, integration partners and industry stakeholders. And what a night it was! The energy was electric, and many guests commented about the incredible community spirit they felt being part of the Realtime family, not only at this event but in their business in general.

Kylie Dillon, our founder & CEO, took a moment to say a few words, thanking guests for their ongoing support and reflecting on the incredible journey that had led all of us to that point. She gave a special mention to the Realtime Conveyancer team, who have worked tirelessly over the past few years to bring her vision to life and shared our heartfelt gratitude to all in attendance for being part of this special celebration. 

Special thanks go to The Reveley and their wonderful team for the delicious food and drinks that continued to flow throughout the night. Our celebration was made extra-special with our pink signature cocktail and mocktail creations, ‘The Ruby’ and ‘The Realtime’. 

Something that Kylie summed up beautifully in her speech was the importance of working together and collaboration over competition. Building a community is something that is at the heart of what Realtime is all about, something that far transcends the development of conveyancing software. It was so wonderful to witness some of WA’s most innovative conveyancers come together with leading industry stakeholders and build some incredible connections at this event.

What inspired you to start your own conveyancing business?

Ever since I started in the industry back in 2006, it was always a dream of mine to start my own conveyancing firm. We’re very lucky in our industry to have flexibility with our jobs because of PEXA. When I fell pregnant with my first daughter Ava in 2018, I felt like the timing was perfect to go out on my own because I could be a mum and have my dream job at the same time – what could be more amazing than that?

How do you maintain strong relationships with your clients and foster trust and transparency throughout the conveyancing process?

Communication! Something so simple can have such a big impact on your business and your relationships with not only your clients but real estate agents, mortgage brokers and any person who is involved in the settlement.

What role does technology play in your business, and how does it enhance your service offerings?

Technology is a great tool to have in your toolbox. There are many ways you can utilise technology, from something as simple as an SMS service to an app. For my business, I am very much pro-technology as a quick and easy way for everyone to keep the client and real estate agent updated on the progress of settlement. To do this, I utilise the amazing Pathway to Settlement app that is integrated with Realtime Conveyancer.

In our latest Client Spotlight, we’re excited to introduce Kelly Young and her business, Estate Conveyancing. Kelly’s WA office is based in Geraldton, servicing homeowners across the state. Estate Conveyancing also has a branch in Melbourne to assist Victorian homeowners with their conveyancing needs. Having been an active user of Realtime Conveyancer for more than a year, Kelly and her team pride themselves on the fact that the majority of their clients are either repeat clients or have been referred to them by a previous happy client.

Recently, we took some time to chat with Kelly and dive into some of the things that make Estate Conveyancing unique, as well as what she loves about being part of the WA conveyancing community.

Can you tell us a bit about your business and what sets you apart in the conveyancing industry?

Estate Conveyancing is a cross-state-based company with offices in WA and VIC.  While being qualified across the two jurisdictions is challenging, having this knowledge is very advantageous to assist clients and their needs across both of these states and processes.

We are always striving to do better and are always advocating for the betterment of our industry, no matter what state you are in.  

What inspired you to start your own conveyancing business?

After a lovely 4 year trip around the world, returning to my homeland in 2009 and my hometown was tough.  People were different, and the world was different. This made me think about life and what direction it was going.  That is when I decided that I wanted to be a business owner, and I wanted to be challenged. 

Working in settlements and property since I left high school, I loved the industry and loved the work.  I am a very social person and try to be positive as much as possible, so why not take that across to pleasing clients and making a difference in the industry!

What challenges have you faced in your journey, and how have you overcome them?

I think we can all say that, at some point or another, we have experienced burnout…  Why do we put ourselves through the stress and high expectations of our industry?  Short answer – There is no better feeling than seeing that SETTLED email and calling that excited client to tell them that they are a homeowner, or you are now a property investor or your property is now transferred, and you never have to speak to your ex again! 

It is really easy to get bogged down in the negative but to overcome the intense and stressful nature of our job, it is vital to be surrounded by the tools to keep you motivated and efficient.  That includes software and also motivated and inspiring people!

What future goals or aspirations do you have for your business, and how do you plan to continue making a difference in the industry?

I want to build up my business in both states and have a more profitable business in line with our worth.  Not necessarily what people’s expectations are but what we are worth in line with the intensity of our work and the skills required.   We are often not given anywhere near enough credit as the professionals we are.   I am also very big on education and making our industry great for all involved, and keeping a high standard.

Kelly’s passion and commitment to making a positive change in the lives of her homebuyers and sellers in what is often a stressful period in people’s lives is truly inspiring. Client Spotlight on… Christine Bradbury, Federation Settlements

In our latest Client Spotlight, we’re excited to introduce Chris Bradbury and her independent settlement agency, Federation Settlements. Chris is the current president of the Australian Institute of Conveyancers (WA Division), and we have been lucky enough to have counted Chris as one of our Realtime clients since all the way back to our early days in 2021. Chris has had quite a journey in the WA conveyancing industry over the years, and her knowledge, insights, and experience are unparalleled.

We sat down with Chris recently and asked her to share this journey with us and some of the things that make Federation Settlements special!

Can you tell us a bit about your business and what sets you apart in the conveyancing industry?

My business is structured whereby I take no more than 20 deals at a time.  By doing this, I can provide a very personal experience to my clients. 

While I use all technology available to me, I am constantly calling and talking to clients, advising them on what to do next and what to expect from me.  As I am the only person that they talk to during the process, this also gives them a sense of being that special client.

I make sure to add each client to my phone contacts so when they call me, I can answer with: “Hi, Mr Jones” or “Hi, John. How can I help you today?”  The shock in their voice that I know who they are is really evident.

I have been around the industry since the early 1980’s and have seen many changes, but the one constant is client service which I hold as my most valuable asset.

What role does technology play in your business, and how does it enhance your service offerings?

I hold technology high on the list of essential business tools, whether it be my phone system or my laptop, all the way to the platform I use to navigate my daily activities.

I was lucky enough to be accepted as one of the original firms that tested the Realtime platform and provide feedback to improve it. 

Realtime was a real game changer from the very first file and has only got better over time, and it still has more to come that I am very excited about.  The ability to do my job has become so easy with the use of Realtime Conveyancer and DocuSign as well as Scantek for ID all of this is amazing technology and provides me the time to contact my clients. 

How do you stay up-to-date with the latest industry trends and regulations to ensure your clients receive the best possible service?

One of my passions in my work life is training others to work in our industry.  For me to do this, I need to ensure that I am abreast of all the current and future trends in the industry.  I can do this by being a member of the AICWA and also subscribing to the Legislation.wa.gov.au website to receive updated information as soon as it is published.  I am also a subscriber to the Landgate, Revenue WA and PEXA pages. Being one of the CPD facilitators is also a great way for me to share my experience in the industry and to give a little back to the industry that has served me for the last 40-odd years.
